Terms & Conditions

Please read these policies carefully before making a booking

1. Booking Registration

•All bookings must be made through the official registration form or email confirmation
•Bookings are confirmed only upon receipt of a signed hire agreement and (where applicable) a deposit or full payment

•Provisional bookings will be held for 3 days. If confirmation and payment are not received within this period, the booking may be released

2. Payment Terms

•A deposit of 25% is required to secure your booking
•The balance must be paid no later than 10 working days before the event date
•Late payments may result in cancellation of the booking

3. Cancellation & Refund Policy

Cancellations must be made in writing to [email protected]

Refunds will be issued as follows:

More than 30 days' notice: 100% refund or full credit
15-30 days' notice: 50% refund or credit
Less than 14 days' notice: No refund or credit

•If the venue must cancel the booking (e.g., due to unforeseen circumstances), a full refund will be issued, but no further liability will be accepted
•No-show: If you fail to attend without prior notice, no refund will be provided

4. Modifications & Rescheduling

•You may request to reschedule up to 5 days before your start time (subject to availability)
•Rescheduling within 3 days may incur a 25% rebooking fee
•Only one reschedule per booking is permitted
•No refunds for early departure or shortened bookings

5. Use of the Premises

•The hirer is responsible for ensuring the space is used safely and appropriately
•All activities must comply with relevant health and safety and fire regulations
•The hirer must not sublet or transfer the booking to another party
•The venue must be left clean, tidy, and in its original condition
•Any damage caused during hire will be charged to the hirer
•Excessive cleaning fees may apply if the venue is left in poor condition

6. Access and Timings

•Standard operating hours: 08.00-16.00hrs Monday to Friday
•The hire period includes time for setup and pack-down
•Early access or late departure must be pre-approved and may incur additional charges
•After-hours access must be pre-approved and will incur additional charges
•Failure to vacate the premises on time may result in extra hourly fees

7. Equipment and Facilities

•Use of equipment (e.g., AV, chairs, tables, kitchen facilities) must be requested in advance
•The hirer is responsible for the safe use and return of all provided equipment
•Any loss or damage may incur replacement or repair costs
•Please report any equipment faults or damage immediately to Ashridge Group

8. Insurance and Liability

•The hirer is advised to hold public liability insurance covering their event
•The venue accepts no responsibility for loss or damage to personal property
•The hirer assumes full responsibility for the conduct of guests and attendees

9. Conduct and Prohibited Activities

•Noise levels must be kept within acceptable limits, respecting other users and neighbours
•Smoking and vaping are not permitted inside the premises
•Disorderly or illegal behaviour will result in immediate termination of hire without refund
•All activities must comply with local laws and regulations

10. Special Requirements

•Participants with dietary, accessibility, or learning support needs should notify us at the time of booking
•We will make every reasonable effort to accommodate such requests
